What this checklist is
A room-by-room workflow for recording rental condition at the end of a tenancy.
Document rental condition before returning the keys with a room-by-room move-out inspection, photos, notes, receipts, and written follow-up.
Inspect the empty rental before returning the keys, compare it with the move-in record, photograph every room and any disputed detail, save cleaning and repair receipts, and send a dated written summary. The record cannot guarantee a deposit outcome, but it can make later discussions more factual.
General information only: Security-deposit, entry, privacy, notice, and documentation rules vary by jurisdiction and lease. Check the law that applies to the rental or ask a qualified local professional before acting.
Find the lease, move-in condition report, original photos, maintenance messages, and any instructions from the landlord. Finish cleaning and agreed repairs while there is still time to correct a missed area.
Take wide photographs that establish the room and closer images that show fixtures, surfaces, appliances, and existing defects. Use consistent angles where possible and retain the original files.
Write down the inspection date, attendees, meter readings where relevant, returned keys, forwarding address, and unresolved comments. Ask for a copy of any signed final report and keep proof of when possession was returned.
Security-deposit evidence should remain an accurate condition record. Keep originals and do not remove damage, stains, personal property, timestamps, or other context from evidentiary images. Rental listing cleanup images serve a different purpose and should not replace inspection originals.
A room-by-room workflow for recording rental condition at the end of a tenancy.
Tenants, landlords, property managers, roommates, and inspection participants preparing for handover.
It organizes comparison photos, notes, receipts, keys, dates, and final communications before evidence is lost.
Unlike casual phone snapshots, it connects wide views and details to rooms, dates, move-in records, and a written handover.
Complete the checklist before returning possession, retain original files, and send the written record to the other party.
